We are seeking a reliable, detail-oriented, and proactive Customer Service Representative / General Administrative Assistant to support daily office operations while delivering high-quality customer service. This dual-role position is essential to maintaining an efficient workplace, supporting internal teams, and ensuring positive interactions with customers and stakeholders.
Primary Responsibilities:
- Respond to customer inquiries via phone, email, and chat in a timely and professional manner
- Perform general office duties including filing, data entry, scanning, document preparation, and scheduling
- Maintain and update customer records, databases, and internal systems
- Schedule meetings and appointments; manage calendars as needed
- Prepare and distribute correspondence, memos, and routine reports
- Assist with basic bookkeeping, record-keeping, and data tracking
- Provide administrative support to multiple departments as required
- Support other administrative staff to ensure smooth office operations
- Resolve customer issues and complaints efficiently while maintaining a positive, empathetic approach
- Maintain accurate records of customer interactions and service activities
- Follow up with customers to ensure satisfaction and issue resolution
- Collaborate with team members to improve customer service processes and workflows
Basic Qualifications
- TS/SCI w/ Poly Clearance is required
- High school diploma or equivalent
- Minimum of 2-4 years of experience in customer service, administrative support, or office operations
- Strong written and verbal communication skills
- Excellent organizational and time-management abilities with strong attention to detail
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and standard office equipment
- Ability to work independently as well as collaboratively in a team environment
- Strong problem-solving skills and ability to handle multiple priorities
Preferred Qualifications
- Associate’s or Bachelor’s degree in Business Administration or a related field
- 2+ years of experience in a customer service and/or administrative role
- Experience with customer relationship management (CRM) systems or customer databases
- Familiarity with SAP or similar enterprise software
- Experience supporting multiple departments in a fast-paced office environment
- Positive, patient, and professional demeanor with strong interpersonal skills
